If you're an event organizer, you know that creating a well-organized schedule is essential for the success of your event. One way to achieve this is by creating meeting blocks, which allow you to group together a set of meetings with specific characteristics, such as duration, location, or participant type. 

Having a solid grasp of the basics of meeting blocks is essential for organizing a seamless and productive event. This article will provide you with all the information you need to gain a better understanding of meeting blocks.

What are meeting blocks?

A meeting block is a designated period of time in which participants can schedule their meetings. It's divided into time slots to allow for multiple meetings to take place within the same block. The number of time slots allocated is determined by the meeting duration specified by the organizer. Each time slot corresponds to the duration of one meeting.

For online meetings, there are no limits to the number of meetings that can be scheduled within the meeting block. However, for on-site meetings, the meeting limit can be determined by the number of time slots available and the number of meeting points.

Participants can conduct their meetings during the assigned time slots, or alternatively, they can choose to schedule their meetings within the broader timeframe of the meeting block.

How can I access meeting blocks?

The first step is to navigate to Networking from the left sidebar of the Organizer’s Tool and click on Configuration.

This will automatically open the Meeting Blocks tab

How can I find more info about a meeting block?

To find out more about a meeting block, simply head to the Meeting Blocks tab and click on a meeting block.

This will open up the Meeting Block Info sidebar, which is comprised of two tabs: Info and Time Slots.

The Info tab provides you with important details such as the meeting capacity, which indicates the number of available meetings and the number of meetings that have already been booked within the time slots. Additionally, this tab includes a list of participants who have made themselves available for the meeting block.

Meanwhile, the Time slots tab displays a list of all the time slots within the meeting block, along with information on how many meetings have been booked in each slot.

Meeting availability

Meeting blocks are closely tied to participants’ meeting availability. These meeting blocks act as potential dates for scheduling meetings, allowing participants to select the time slots that work best for them.

By choosing their own availability, participants enable the platform to recognize when they are free and to identify the first available time slot where two participants who wish to meet can schedule their meeting.
